"Perspectives on Managing Records in Microsoft 365"

 

OVERVIEW: The panel will discuss what they’ve learned about successfully implementing the records management functionality in Microsoft 365 into government culture. This panel will feature participants from a federal agency, a state government, municipal agency, and the National Archives. They will each share their perspectives on what a successful implementation of Microsoft 365 looks like, including challenges, successes, and lessons learned.

Rebekah Bakos-Kallgren will share her experience of leveraging the G3 license of M365 to support boards and commissions records management across the State of Vermont. Through the use tools and templates designed to capture key record-keeping metadata upon record creation to take the burden off of records creators and streamline accessioning of digital archival records into VT-Retain, the state’s archival digital repository.

Beth Cron will share the lessons learned from the Microsoft 365 User Group along with related policy and guidance from the National Archives and Records Administration. Over the past 5 years, Beth has led the group in sharing lessons learned, best practices, resources, demos, and questions. She will share the top issues the group has discussed related to licensing, permissions, provisioning, policy, and disposition. She will then provide an overview of promising Microsoft functionality to address records management concerns.

Most organizations are using or will soon be using the Microsoft 365 platform to create and manage records. Records managers and archivists need to be aware of the tools employees are using to create records. Microsoft 365 has functionality to manage records created in place. This session will help attendees understand where records are stored and what they need to do to manage them.
