OVERVIEW: The Right of Way Division at the Texas Department of Transportation coordinates the acquisition of land to build, widen or enhance highways. As a state agency dealing with the acquisition of real property across Texas, we relied heavily on paper-based processes for more than 100 years. We are currently working with the Texas State Libraries and Archives Commission on a massive effort to image over 1 million documents so that we can ensure our records are more readily available to the public. At an agency-level, TxDOT receives over 13,000 public information requests every year. Digitization has provided us with the ability to respond to these requests quicker than ever before.
In this session, we will be discussing our Division's digitization initiative, as well as the tools we use to manage records and public information requests, including GovQA, OnBase, and the Texas Real Property Asset Map. Topics will include beginning and procuring a vendor for a large-scale digitization project, imaging archives, metadata and records storage, collaboration, and change management.
We believe anyone in the government archives and records administration profession will benefit from us sharing the experiences we've had at TxDOT -- navigating a large-scale imaging project, collaborating with the State Libraries and Archives Commission to scan century-old records, ensuring long-term storage and easy access to these records, and implementing new processes to more quickly respond to the public's request for information.
